The Story Tent – Terms and Conditions

​Welcome to The Story Tent. To ensure every session is safe, fun, and runs smoothly for all families, please review our terms and conditions below. Booking a class indicates your agreement to these terms.

​1. Bookings, Payments, and Fees

  • ​Termly Bookings: Classes must be booked and paid for in full in advance in termly blocks, unless otherwise agreed upon in writing with your class leader.
  • ​Payment Methods & Booking Fees: Payments are typically made online by card. If you wish to avoid paying online booking fees, an option to pay via bank transfer is available.
  • ​Class Cancellations or Postponements: If a session is cancelled or postponed by The Story Tent, you will be offered either a full refund, alternative date or the option to roll the session over to a future date. Note: Refunds issued due to provider cancellation will not include any booking fees.
  • ​Trials and Events: Trial classes and Specials are exempt from the termly booking rule, though advance booking, payment, and our terms still apply.

​2. Missed Sessions, Catch-Ups, and Gifting

  • ​No Refunds for Personal Absences: Unfortunately, if you are unable to attend a session due to personal scheduling conflicts, holidays, or illness, we cannot provide a refund.
  • ​Catch-Up Sessions: If you miss a session, we may be able to offer you a catch-up session on a different day, strictly depending on available spaces. Please speak to your class leader to check availability.
  • ​Gifting a Missed Session: If you are unable to attend a session and a catch-up space is unavailable, you are very welcome to gift your space for that specific class to a friend or to another family within The Story Tent community. To do this, you must notify your class leader in advance and provide the name and contact information of the attending family prior to the start of the session.

​3. Equipment Safety: Story Tents and Props (Crucial)

  • ​Tents Are Props: The Story Tents are strictly props and can easily be pulled over if misused, leaned on, or climbed.
  • ​Constant Parental Supervision Required: Parents and carers must actively supervise their children at all times around the tents and all other session props. You are entirely responsible for ensuring children do not pull, climb, or hang on the tents.
  • ​Availability: Story Tents will always be accessible during our sessions. However, depending on venue size and class numbers, tents may be moved during the independent play portion of the session.

​4. Health, Safety, and Allergies

  • ​Strictly Nut-Free Policy: To protect children with severe allergies, The Story Tent is a strictly nut-free environment. This includes any snacks, food items, or drinks that families bring into the venue. Please ensure no products containing nuts or traces of nuts are brought to class.
  • ​Stay Home When Unwell: To protect our community, please do not attend class if you or your child are feeling unwell.
  • ​Sickness and Diarrhoea Policy: Children (or accompanying adults) who have experienced symptoms of sickness or diarrhoea must not attend sessions until at least 48 hours after symptoms have completely stopped.
  • ​Allergies and Dietary Materials: While we strive to provide taste-safe items, parents and carers are entirely responsible for supervising their children and preventing them from interacting with materials or food substances that may trigger an allergy. Ingredient packaging is available upon request.
  • ​Choking Hazards: Although our sensory materials are chosen with care, they are intended for sensory play not consumption. They may present choking hazards. The Story Tent accepts no responsibility for illness, allergic reactions, or accidents resulting from the consumption of provided materials.
  • ​First Aid: In the event of an accident, please notify the class leader immediately. First aid kits are available on-site, and leaders are trained to assist.

​5. General Supervision and Conduct

  • ​Parental Responsibility: Parents and carers are strictly responsible for the supervision, safety, and behaviour of their children at all times throughout the entire session, including during independent play, free movement, and equipment/prop use. The Story Tent accepts no responsibility for lack of supervision.
  • Story Time Courtesy: While we never expect little ones to sit completely still during story time at the teepee tents, if children choose to play elsewhere beforehand or during the reading, we kindly ask that both children and grown-ups keep their volume low so that other families can comfortably enjoy listening to the story.
  • ​Premises Security: For safety reasons, accompanying adults are strictly prohibited from leaving the building without the child or children in their care.
  • ​Code of Conduct: To ensure a safe and enjoyable environment, children are asked not to run inside the venue.
  • ​Right of Admission: The Story Tent reserves the right to ask any participant (adult or child) to leave the session if their behaviour threatens the safety, well-being, or enjoyment of others. No refunds will be issued in these instances.

​6. Venue, Clothing, and Personal Belongings

  • ​Clothing: Messy play can be unpredictable. We strongly recommend dressing children in older clothing or clothes appropriate for mess. The Story Tent is not liable for any stains, paint marks, or damage to clothing.
  • ​Personal Belongings: The Story Tent accepts no responsibility or liability for the loss of, or damage to, personal possessions brought to any session.

​7. Media and Photography

  • ​Photography and Video: You are welcome to take photographs and videos of your child during the session to capture their memories. However, to respect the privacy and safeguarding of all families, you must only photograph or record your own children or children whom you have permission from their parents.
